Plans and limits
ReferenceUpdated
On this page
Kanroo Cloud has three plans: Free, Team, and Enterprise. Every plan includes every feature. The plans differ only in a few fair limits, such as the number of members or the size of one file, and in support.
This page lists the prices, every limit, and what happens when an organization moves to a lower plan. The limits apply only to Kanroo Cloud. A self-hosted deployment has no plan limits.
Quick steps
Only the organization owner sees Billing. The screenshots show an organization on Enterprise. On Free and Team, the page has the same parts with other values.
- Open Organization settings and choose Billing (box 1).
- The plan card (box 2) names the current plan. On Team, it also shows the status, the paid period, the billing interval, the billed seats, and Manage billing, which opens the billing portal.
- The usage tiles (box 3) show how much of each limit the organization uses.
- Choose Yearly or Monthly (box 1). The switch selects the interval for the checkout. While a Team subscription runs, the Team card shows the price of its interval instead.
- The Team card shows the price per seat (box 2). On Free, the Team card has Upgrade to Team. It opens the checkout of the payment provider. You do not enter a number of seats: the checkout uses the number of active members.
- Current plan (box 3) marks the plan of the organization. For Enterprise, choose Contact us (box 4).
Prices
| Plan | Price | Billed |
|---|---|---|
| Free | EUR 0 | Not billed |
| Team | EUR 10 net per seat per month, or EUR 96 net per seat per year | Monthly or yearly |
| Enterprise | On request | Individually |
Team prices are net. Applicable taxes are added at checkout and on the invoice. There is no trial.
A seat is one active member of the organization. Owners, administrators, and members each count as one seat. Pending invitations do not count. Organization teams do not add seats.
Only the organization owner can start or manage a subscription. The owner opens Billing in the organization settings. Invoices, the payment method, the billing address, and cancellation are handled in the billing portal that opens from there.
Every feature on every plan
No plan turns a feature off. Every plan includes boards, public boards, forms, Email Intakes, Reply by Email, push notifications, live updates, imports, exports, templates, search, API keys, webhooks, MCP, and single sign-on (SSO).
Kanroo creates your first organization automatically. You can create more organizations from the organization menu, for example one for each company or client you work for. Each account has one Free organization. Every additional organization needs a paid plan: it opens on the Billing page and stays read-only until the checkout is complete. You can create at most 5 organizations in 24 hours. To work together, invite people into a Team organization. When your Free organization gets a paid plan, your account can have a new Free organization.
When you make another member the owner of your Free organization, it becomes their Free organization if they have none. Otherwise it becomes read-only until it has a paid plan. If it is still in its 7 days with the previous limits, this starts when they end. In both cases, your account can have a new Free organization.
Limits
| Limit | Free | Team | Enterprise |
|---|---|---|---|
| Active members | 1 | 50 | No limit |
| Size of one attachment | 5 MiB | 25 MiB | 50 MiB |
| API-key requests per minute, per organization | 60 | 1,000 | 2,000 |
| Public boards | No limit | No limit | No limit |
| Organization slug changes | 0 (generated slug only) | No limit | No limit |
| Email Intakes | 1 | 10 | No limit |
| Form submissions per month | 25 | No limit | No limit |
| Audit log retention | 30 days | Up to 365 days | Up to 365 days |
| Wiki pages | 25 | 250 | No limit |
| Saved versions per wiki page | 5 | 25 | 50 |
What the limits mean:
- Active members are the seats above. You can send more invitations than the limit allows, but an invitation can be accepted only while a seat is free.
- Size of one attachment applies to every task attachment, also files sent through a form. Avatars, organization logos, and import files have their own size limits.
- API-key requests count all requests that use an API key for the organization, from all keys together. Work in the browser never counts.
- Public boards are included on every plan without a limit.
- Organization slug changes count every change over the life of the organization, also changes made on a higher plan. A Free organization keeps the slug that Kanroo generated for it. To choose a readable slug, upgrade to Team.
- Email Intakes count every Email Intake that is not deleted, in any state.
- Form submissions count every submission to all forms of the organization in the current calendar month (UTC). When the limit is reached, the forms accept no new requests until the next month. The count starts again on the first day of the next month.
- Audit log retention is the longest time the organization can keep its Audit log entries.
- Wiki pages count every page of the organization in all spaces, also archived pages. Pages of a deleted space and permanently deleted pages do not count. A Markdown import creates pages up to the limit and skips the other files.
- Saved versions per wiki page is the number of earlier versions that the History of a page keeps. When a page is saved, the oldest versions above the limit are removed.
When an action would go over a limit, Kanroo does not save it and tells you which limit was reached.
Some technical limits apply on every plan, for example sign-in code limits and the wait time between two organization slug changes. They protect the service and do not change with the plan.
Support
Support differs by plan.
| Plan | Support |
|---|---|
| Free | Self-service: these docs and the guides. |
| Team | Personal help with using Kanroo, your account, and billing through the support form. |
| Enterprise | Prioritized support with a direct contact person, also for setup, single sign-on, and imports, through your own Enterprise support form. You get its link with your order. |
Storage
No plan limits the total storage or the number of uploads. The Fair Usage Policy applies instead.
Change the billing interval
You can switch between monthly and yearly billing in the billing portal. The change starts at the end of the current paid period. There is no partial charge or credit.
Add and remove members on Team
- When you add a member above the seats already paid for this period, the new seat is billed at once.
- When you remove a member, the seat stays paid until the end of the period. The next renewal has one seat less. There is no credit for the current period.
- When you add a member again within the seats already paid, there is no new charge.
Payment problems
When a payment fails, the organization keeps Team while the payment is retried. The owner sees a message on the Billing page and can update the payment method in the billing portal. If the payment does not succeed, the organization moves to Free.
Move to a lower plan
An organization moves to a lower plan when its Team subscription ends or its Enterprise contract ends. A canceled Team subscription stays active until the end of the paid period.
Kanroo never deletes data because of a lower plan. Boards, tasks, attachments, wiki pages, and members stay.
7 days with the previous limits
After the move, the limits of the previous plan still apply for 7 days. Existing members keep working, but new members can join only within the member limit of the new plan. The owner receives an email, and all members see a banner with the end date. The banner stays after the 7 days while the organization is above a limit of its plan.
The 7 days apply only when the organization becomes the owner’s Free organization. That happens when the owner has no other Free organization.
When the owner already has a Free organization
Each account has one Free organization. When an organization moves to Free and its owner already has another Free organization, it gets no 7 days and becomes read-only at once. Its public boards, forms, and shares go offline. Nothing is deleted, and members can still read and export everything. The owner receives an email. Choose a paid plan on the Billing page to make the organization writable again. Kanroo does not publish boards, forms, and shares again after the payment; publish them again yourself.
After the 7 days
The limits of the new plan apply:
- Too many members: the whole organization becomes read-only. Members can still read, export, and delete. Administrators can remove members and change roles, and the owner can open Billing. All other changes cannot be saved. Forms, Email Intakes, and Reply by Email are paused. The organization can be changed again as soon as it is within the limit: choose a higher plan, or remove members.
- Too many Email Intakes: the oldest Email Intakes up to the limit keep working. The others keep receiving email and hold it for up to 7 days without creating tasks. They start again when you choose a higher plan or delete Email Intakes.
- Other limits apply to new actions only. Existing attachments, slugs, form submissions, and wiki pages stay as they are. Above the wiki page limit, no new pages can be created.
- Audit log: entries older than the Audit log retention of the new plan are removed at the next cleanup.
- Saved versions of a wiki page: a page keeps its saved versions until it is saved again. Then only the newest versions up to the limit of the new plan stay.
The Audit log entries and the saved versions of wiki pages are the only data that a lower plan removes.
When you choose a higher plan, paused Email Intakes resume and turn held emails into tasks.
Delete an organization with a Team subscription
Cancel the Team subscription first. You can then delete the organization before the paid period ends. The rest of the paid period is lost, and there is no automatic refund.
Until you cancel, the deletion dialog tells you to cancel first. Select Manage billing there to open the billing portal.
Deleting your own account follows the same rule for a Team organization in which you are the only member. See Delete your account.
Enterprise
Team allows up to 50 members. For more members, contact us through the contact form. Enterprise is billed individually, not through the Billing page.
