Manage who can open a board
GuideUpdated
On this page
Each board decides who may open it and what they may do. Wiki Spaces work the same way. Board managers change the access; everyone else can see it.
Board roles
| Role | May do |
|---|---|
| Viewer | Read the board, its tasks, comments, and files. |
| Editor | Viewer, plus create, edit, move, and comment on tasks, and manage lists. |
| Manager | Editor, plus labels, forms, board settings, the done list, access, making the board public, and deleting it. |
Open board access
- Open the board actions (Shift+A) and choose Board access.
- Board owner (box 1) always has the manager role. You become the owner of the boards you create.
- Organization (box 2) gives every member of the organization one role, for example Editor. New members get it automatically.
- Teams (box 3): pick a team and a role, then choose +. Here, the Client Services team manages the board. Team changes apply at once.
- Individuals (box 4): pick a person and a role, then choose +.
- Compare roles (box 5) explains the three roles.
Change a role with the menu on the right of an entry. Remove access at the end of that menu deletes the entry.
How access adds up
- When several entries apply to one person, the highest role wins. Someone who is a viewer through the organization and a manager through a team is a manager.
- There are no “deny” entries. To keep a board private, do not give the whole organization access, and add only the right teams or people.
- Organization administrators and the owner get no automatic access to boards.
- Assigning a task or following it gives no access.
Wiki Spaces
Open the Space, choose the Space actions, then Space access. Roles mean the same for pages: viewers read, editors write, managers also handle settings, access, and public links.
