Share a wiki page with a public link

GuideUpdated

On this page

A public link lets people outside your organization read one wiki page, with or without its subpages. A page can have as many links as you need, for example one per customer, as agencies do. Each link has its own options, and you can revoke one without touching the others. Space managers create and manage links.

Open the share menu

Public links of the Project brief page
  1. Open the page and choose Share in the header (box 1). The globe is blue while the page is public.
  2. The menu lists the newest links of this page (box 2), each with a name and a summary such as “This page only”, “Password”, or “7 days left”.
  3. Copy link (box 3) copies the address of that link.
  4. With more than three links, All 4 links (box 4) opens the full list.
  5. Choose Create public link (box 5) to add one.
A link for Tim Ba. with a password and a 30-day expiry
  1. Name (box 1) is optional. Use the recipient, so you can tell the links apart later.
  2. Include subpages (box 2) makes every page below this one readable too, also pages you add later. Kanroo shows how many pages that makes public.
  3. Require a password (box 3): 4 to 64 characters. Send it on another channel than the link.
  4. Set an expiry date (box 4): in 1, 7, 30, or 90 days. The link stops working after that.
  5. Choose Create link (box 5). Kanroo shows the new address with a copy button.
The actions of one public link
  1. Open the … menu of a link.
  2. Edit link (box 1) changes the name, subpages, password, or expiry. A new password or expiry signs out visitors who already unlocked the link.
  3. Open (box 2) shows the page as your visitors see it.
  4. Revoke link (box 3) stops the link at once. A revoked link cannot be turned on again; create a new one instead.
All public links of the Spaces Dejan manages
  1. Open Wiki and choose the Public links tab (box 1).
  2. Active and Inactive (box 2) separate working links from revoked and expired ones.
  3. Filter by Space and search by name or page title (box 3).
  4. Each row (box 4) has Copy link and the same menu as above.

Good to know

  • Visitors open the link in any browser. Search engines are told not to index shared pages.
  • Archiving a page or its Space pauses its links. Restoring brings them back.
  • A page that is public only through a parent’s link shows “Public through …” in its share menu.
  • Mentions show as plain names, and links to tasks the visitor cannot see show as text.
