Collect requests with a form
GuideUpdated
On this page
A form intake is a simple public form that creates a task on your board. Clients, users, or colleagues fill in a title, a description, optional labels, and files. You decide which list the task lands in. Board managers create and edit forms.
Open the Intakes page
- Open the board actions (Shift+A) and choose Intakes.
- New form intake (box 1) creates a form.
- Each card (box 2) shows a form with its state, its target list, and the number of allowed labels. Primary marks the primary form.
- Copy link (box 3) copies the public address of the form. Send it, or put it on your website.
- The card menu (box 4) has more actions.
Create a form
- Basics (box 1): the Public name is the title of the form. Public instructions explain what you need, in one or two sentences.
- Target list and Default priority (box 2) decide where new tasks land and how urgent they are.
- Allowed labels (box 3) are the labels a sender can pick. Leave it empty to hide the labels field.
- Active (box 4): only an active form accepts requests.
- Primary public-board form (box 5): see below.
- Choose Create form intake.
What “primary” does
A board can have many forms, but only one primary form. When the board is public, its public page shows a Submit request button that opens the primary form, and the form links back to the board. A restricted board can keep a primary form ready; the button appears once the board is public.
Use Edit (box 1) to change a form and Deactivate (box 2) to pause it. Box 3 makes a form the primary one (Designate primary), or, on the primary form, Remove primary. Deleting a form is final; its tasks stay.
What senders do
- They open the form link and fill in title and description, and pick labels and files.
- To send, they confirm their email address with a six-digit code. With the same address they can sign in to Kanroo later and see their receipts.
- They see a receipt with the task key, and get an email with a link to it.
Senders do not join your organization and cannot see the board through the form.
What you get
- A task in the target list with a clipboard icon (“Created from a form”).
- The task page shows the sender and the form under Source.
- The task stays unpublished: it never shows on a public board until an editor publishes it. See Public submissions on a public board.
- Nobody on the board gets a notification for a new request. Watch the target list, or filter for it.
