Delete your account

ReferenceUpdated

On this page

You can delete your Kanroo account yourself. Deletion is immediate and permanent. There is no waiting period, and a deleted account cannot be restored.

This page explains what blocks a deletion, what happens to your organizations, what is removed, what stays, and how you confirm the deletion.

Before you start

  • Export what you want to keep. Open the actions of each board you want to keep and choose Export. After the deletion, you cannot open your boards any more.
  • Sign in with your email code. Only a personal sign-in can delete an account. If you signed in with single sign-on (SSO), Kanroo first sends a code to your account email address to verify your personal account.

What blocks a deletion

An organization never stays without an owner, and a deletion never skips a paid subscription. Kanroo therefore refuses the deletion while one of these is true:

  • You own an organization that has other members. Make another member the owner first, in Members of the organization settings.
  • You are the only member of a Team organization whose subscription is not cancelled. Cancel the subscription first, in the billing portal that opens from Billing in the organization settings.
  • You are the only member of an Enterprise organization. Contact us first through the contact form.

The deletion dialog lists every blocking organization with its next step and a link to its settings. You cannot request a code while something blocks. Check again after you took the step.

A self-hosted deployment has no plans and no subscriptions. There, only the ownership rule blocks.

Organizations deleted with your account

An organization in which you are the only member is deleted together with your account. This covers a Free organization, an organization without a paid plan, and a Team organization whose subscription is already cancelled. All of its boards, tasks, wiki pages, files, and settings are deleted.

For a cancelled Team subscription, you lose the rest of the paid period. There is no refund or credit. The dialog names these organizations and asks you to confirm this separately. Kanroo deletes nothing at the payment provider.

Organizations you leave

In every organization that you do not own, you leave like a member who leaves on their own:

  • Boards and spaces that you own move to the organization owner. They are not archived.
  • Tasks, comments, and pages that you wrote stay. They no longer show your name.
  • The organization owner gets no email. The activity of the organization shows that you left.

In a Team organization, your seat stays paid until the end of the current period. The next renewal has one seat less. There is no credit for the current period.

What is removed

  • your account, your name, your email address, and your avatar
  • all your sessions, so every browser and device is signed out
  • your API keys, webhooks, and push notification subscriptions
  • your security activity
  • invitations that you sent
  • emails to you that Kanroo has not sent yet

What stays

  • Invoices, orders, and customer records at the payment provider. Kanroo deletes nothing there.
  • Invitations to your email address. An organization can still invite the address, and you can create a new account with it later. A new account starts empty.
  • Content that you wrote in organizations you leave, without your name.
  • The record that you left an organization. A new account with the same address cannot rejoin it through SSO, an invite link, or an old pending invitation until an owner or administrator invites the address again.

How to confirm

The deletion dialog of a member without blocking organizations
  1. Open Personal settings › Account and choose Delete account.
  2. Read the list of organizations that are deleted and that you leave (box 1).
  3. Confirm that the deletion is permanent (box 2). If a cancelled Team organization is deleted, also confirm that its remaining paid period is lost.
  4. Choose Send code (box 3). Kanroo sends a six-digit code to your account email address.
  5. Enter the code and choose Delete account.

The code is valid for 10 minutes and works only in the browser that requested it. A new code replaces the previous one. Code requests count against the same limit as sign-in codes.

A wrong code can be retried a few times. Every other failure keeps your account, for example when the payment provider cannot be reached or when your organizations changed in the meantime. The code is then used up: check the list again, request a new code, and try again.

After the deletion, Kanroo signs you out, opens the sign-in page, and sends a confirmation email to your former address.

Privacy

The privacy policy of the operator of your Kanroo deployment explains how long it keeps data in backups and logs. On Kanroo Cloud, this is the privacy policy linked on the sign-in page. A self-hosted deployment has its own operator and privacy policy.
